Planning a video conferencing room

Prepare a meeting-room brief that considers participants, microphones, camera views, displays and the room itself.

A meeting room should make it straightforward for people in the room and people joining remotely to take part. Start by describing the meetings it will host, then consider the equipment, room layout and network as a single requirement.

Define how the room will be used

Record the typical number of participants, table layout and preferred meeting platforms. Decide whether the space primarily hosts video calls, presentations, training or a mix of activities. A room used for training may have a different camera and display requirement from a small boardroom.

  • Room dimensions and a simple seating plan
  • Typical and maximum participant numbers
  • Meeting platforms already used by staff and visitors
  • Requirements for presenting from a laptop
  • Any need to reuse existing displays or audio equipment

Give audio and camera coverage priority

Microphones and speakers should cover the participants using the space. Consider the room acoustics and background noise as well as the equipment. A camera should provide a usable view of the people who need to be seen, with lighting that avoids glare and strong shadows.

Ask for a demonstration from the remote participant’s perspective. Check whether speech is clear from the seats that will actually be used. Equipment selection alone cannot compensate for every room-layout or acoustic problem.

Coordinate the room infrastructure

Identify where equipment, displays and controls will sit, then plan power and network connections around those positions. Include suitable routes for the connections between the table and the display area. Consider access for maintenance and the practical task of connecting a visitor’s laptop.

Confirm the platform, account and licensing requirements before purchase. Manufacturer compatibility and the features available in an existing subscription should be checked for the selected configuration.

Test a complete meeting before handover

Use the normal joining process and invite someone outside the room to assess the experience. Check voices from different seats, camera coverage, presentation sharing and the controls people will use. Record issues and agree how they will be resolved.

Include a simple operating guide and identify who will support the room after installation. For a site survey, provide the location, room photographs that are approved for sharing, dimensions and any building-access restrictions. We can discuss the audiovisual and video conferencing scope with your team.
